The catch: all your audio and transcripts are stored on Otter's servers. Otter is a US-based company, subject to US data regulations. If your meetings contain sensitive information — client data, HR discussions, strategic plans — this is worth thinking about.
2. Fireflies.ai — Best for integrations
Fireflies.ai is a strong contender, particularly for teams already using CRMs and project management tools. It integrates with Salesforce, HubSpot, Notion, Slack, and dozens of other platforms, making it easy to push transcripts and summaries where they need to go.
The free plan offers limited storage (800 minutes total, not per month). The Pro plan is around $10/month per user, with unlimited transcription and AI summaries. The Business plan at $19/month adds analytics and advanced search.
The catch: like Otter, all data is stored in the cloud on Fireflies' servers. The service is US-based. For teams with strong privacy requirements, this is a significant limitation.
3. Notion AI — Best if you live in Notion
Notion AI isn't a dedicated transcription tool — it's an AI assistant built into Notion. But with the addition of audio transcription in recent updates, it's become a viable option for teams who already use Notion as their central workspace.
You can record a meeting, transcribe it, and have AI generate a structured summary — all within your existing Notion workspace. The AI add-on costs around $10/month per user on top of your Notion subscription.
The catch: it's not a standalone app, requires an active Notion subscription, and the transcription quality doesn't match dedicated tools. It's best for light use within an existing Notion workflow.
4. Microsoft Copilot in Teams — Best for Microsoft shops
If your organization is heavily invested in Microsoft 365, Copilot in Teams offers native transcription and AI summaries with no additional apps to install.
